RFUMS Shipping Guidelines

There are specific government (DOT Department of Transportation) regulations and carrier guidelines the University and its employees must adhere to when shipping a package(s). These regulations and guidelines encompass all methods of shipping: air and ground, domestic and international, UPS, FedEx, UPS, DHL/Airborne, etc., and the United States Postal Service. Examples of common items which are regulated by the government and carriers are NikCad and lithium batteries, thermometers containing mercury, dry ice, most perfumes, and many arousals and cleaning solutions.
 
Please keep the following in mind when shipping a package: 
  • Ensure the contents of your package (s) are not hazardous. If uncertain, contact the manufacturer. The manufacturer can provide you with an up to date material data safety sheet (MSDS) which will point out any hazardous substances.
  • If the item you are shipping is deemed hazardous, it must be properly classified, packaged, and marked for shipment by a Hazardous Materials certified employee. The University Mail Center and Shipping and Receiving departments currently has six employees who are certified to ship hazardous materials and or substances. We will be happy to assist you and or your department with researching your item for shipment classification, and the required inner packaging, package, marking and documentation needed to facilitate your shipment. 
  • Shipments with an international destination, including Canada and Mexico, require one or more of the following shipping documents, certificate of origin, customs invoice, or shippers export declaration. These forms as well as all other shipping forms can be obtained by contacting Shipping and Receiving at ext. 8803 or 8666.  
  • A completed Request for Shipment / Return to Vendor form is required” for Shipping and Receiving to facilitate your shipment request, excluding mail; the Shipping Department is requested to process and/or for each item to be shipped and or returned to a vendor for credit. The completed form will help ensure your shipment is processed properly and in a timely manner. The Request for Shipment / Return to Vendor form is available on the network in the Materials Management portal or by clicking on the following, RFUMS Request for Shipment form       
  • FedEx drop box: Government regulations (DOT Department of Transportation) and Federal Express guidelines also apply to packages placed into the FedEx drop box (located in the North entrance). The Request for Shipment form should not be completed if placing a package/envelope into the drop box. A carrier waybill must be completed in full. FedEx requires certification under the ICAO/IATA regulationsPlease call Shipping & Receiving at ext. 8666 for assistance with shipping hazardous or any other air or ground package shipments. Do not place a package containing dry ice or a diagnostic (Infectious substance) inside the FedEx drop box. 
  • The Shipping Department stocks a limited quantity of packaging required to ship your package, including boxes of various sizes, cushioning, and tape. In the event that we do not have packaging and packing material that does not meet DOT requirements and or your needs, you and or your department will be required to purchase your own packaging and packing material…Shipping and Receiving staff will be happy to assist you and or your department with researching and obtaining vendor information to facilitate shipment. 
  • When shipping hazardous materials and or substances, the University is required under 49 CFR 172.604 to have available a 24/7 emergency response telephone number on our shipping documents. In order to facilitate this requirement, Shipping and Receiving must submit an up to date MSDS sheet (s) and the ship to information to CHEMTREC (3-5 days prior to shipping the material). 
Not adhering to these regulations and guidelines may result in your package being refused for transport by the carrier and/or fines levied against the University. Please contact the Shipping Department at ext. 8803 if you have any questions.
