Shipping Instructions for Hazardous Materials and Substances

The University Shipping and Receiving and or Mail Center department must be involved when shipping dangerous goods, hazardous materials, or substances.

Packages containing hazardous materials or substances are not to be left at the Federal Express drop box, or placed inside or beside the Federal Express drop box. These shipments must be coordinated through the Shipping and Receiving Department.

The following procedure will help ensure your hazardous shipment is both IATA/DOT compliant and successful:
  1. Have available the proper shipping name (Technical name) of the hazardous material or substance.
  2. 3-copies of the MSDS sheet are required, if you or your department have a solution mix or compound mix for shipment, the two most prominent hazardous materials used in the mixture or compound are required. The most hazardous first, followed by the second most hazardous. Complete details of the mixture or compound is also required, the purpose of the mixture and or compound should be stated/written on University letterhead. (Example: diagnostic testing, clinical testing, and or research) this will help customs and our carriers expedite your shipment.
  3. Required are the exact weight/measurements for the chemical, compound, or biological specimen.
  4. If shipping with “dry ice” the exact weight/amount of “dry ice” is to be documented in pounds (lbs) and/or kilograms (KG).
  5. A complete and accurate address is required, and must include the receiver's name, phone number, street address, company name, floor and room number. Secondary contact information will ensure even greater success for your shipment.
  6. Shipping cost, a department carrier account number, University GL cost center, or receiver and or third part account number is required.
  7. Plan Ahead - Some shipments have restrictions and may require a few days notice in order to complete the required documentation and MSDS submittal for emergency response as to ensure DOT/IATA compliance. A 24/7 emergency response phone number is required for hazardous shipments requiring a declaration of hazardous goods form.
Once again - plan ahead and plan accordingly. Shipping and Receiving can assist you with acquiring the proper packaging, package (box) and assist with researching and locating the most cost effective resource for your shipment to be successful. With enough advance notice we can also look for recycled packing and packaging (boxes) to save you and your department cost for your shipment.
