Student Activities Center(Pavilion)

The Student Activity's Center has been set up for usage by student organizations and academic departments for social and educational events. It has been most recently used for the Univeristy Luau and for an International/Multicultural Student Reception during orientation week. Students are free to use this facility for their purposes. An activity's form and a center reservation form must be completed prior to the event. Please turn in all appropriate forms ahead of time to allow sufficient time for scheduling events.

FACILITY USAGE GUIDELINES


Event Scheduling
To reserve a date, please contact the Division of Student Affairs no earlier than six months prior to an event and no later than two full business weeks prior to an event.
Each user group must have two registered Responsible Members on the agreement form who are leaders of a recognized University organization, class or department.
All promotional materials (invitations, flyers, posters) for an event held in the SAC must be approved by the Division of Student Affairs prior to printing or disbursement.
All musical and entertainment arrangements, both amateur and professional, must be approved by the Division of Student Affairs. However, the User Group is responsible for all said arrangements and associated costs.
All set-up and tear-down time will be within the same business day when possible. Any other arrangement will only be made by exception. (Key pick-up times and drop-off times are agreed upon at the time of reservation.)
No deliveries or storage will be arranged for any events or set-up without explicit prior arrangements with the Division of Student Affairs.

General Use
The use of the Student Activities Center (SAC) and its attached grounds is scheduled at the discretion of the Division of Student Affairs.
No standard usage fees will be charged to recognized University groups for the use of this facility. However, if as a result of misuse, extra clean-up or repair is necessary, then the Division of Student Affairs reserves the right to assess fees to mitigate the extra cost incurred.
Equipment and the facility in general should be left in the same condition and place as it was found prior to facility use. (Standard cleaning supplies are available in the equipment closet as listed as Appendix A)
If facility or equipment is damaged in any way, users should immediately notify a Student Development staff member.
If the following policies and procedures are not followed, the group may lose their privilege to use the facilities.
All garbage should be removed to the dumpster at the rear of Student Apartment Building 101 (If one is provided, then on the West side of the SAC.)
No SAC equipment can be used or borrowed without a use agreement for the facility with the Division of Student Affairs.
Enforcement of the rules is the responsibility of the User Group. If the event includes members of the community at large, the User Group must man the door and/or provide adequate supervision as agreed upon at the time of reservation.
The SAC kitchen facilities, fireplace/grill and equipment may only be used in with explicit permission at the time of reservation.
Key pick-up and drop-off times are established by the Division of Student Affairs in conjunction with Security. These times are set prior to the event and will be enforced. Only the established Coordinating Members with a valid university ID will be granted a center key. Key replacement (if not returned or lost) will be charged to the individual responsible.
Equipment agreed upon will be provided however set-up and tear-down is the responsibility of the User Group.
Specific Policies
Smoking is prohibited inside the SAC.
No alcohol may be served, consumed or possessed inside the center or in conjunction with a SAC event.
All equipment and décor must be removed immediately following an event. This includes but is not limited to AV equipment (University or other), signs, banners, balloons and tape.
Because of the location of the center, noise restriction are enforced. Noise heard outside/beyond the SAC will not be tolerated after 10 p.m. Sunday through Thursday and after midnight Friday and Saturday. Any and all noise complaints, including the determination of excessive noise by any University staff member will result in the cessation of the noise and if in violation of the use agreement the closure of the event.
Parking is only permitted within the standard parking regulations on campus. No special parking is allowed for in conjunction with a SAC event. (No parking on University Circle will be tolerated).
